Open Communities seeks an experienced non-profit Finance and Operations Manager. This position is key to ensuring the fiscal and operational health of the organization is strong and staff are supported.

Opis pracy

Finance  

• Maintain a fiscal calendar to ensure fiscal obligations are met on time. 

• Prepare, review, and post all general ledger journal entries in QuickBooks.  

• Manage accounts receivable and accounts payable.  

• Assist with the annual budgeting process, including the creation of schedules necessary to  support the revenue and expense assumptions.  

• Work with outside CPA to reconcile bank accounts and produce monthly financials.  

• Coordinate procedures for incoming mail, checks, and deposits in the bank.  

• Coordinate financial responsibilities for submission of all government contracts and other  grant applications with the Executive Director and the Development team.  

• Prepare monthly vouchers for all government contracts. 

• Collaborate with necessary staff to create budgets and appropriate justifications for grant  proposals and reports.  

• Serve as the point person to outside CPA and Auditor to assist with preparation of financial  audit.  

• Implement, update, and manage effective internal controls, policies, and procedures.  

• Ensure agency is compliant with regulatory bodies, such as the Attorney General’s Office,  The Secretary State’s Office, and other government/funding offices.  

• Identify cost reduction opportunities that create organizational efficiency and effectiveness.  


Human Resources  

• Coordinate the hiring process and the onboarding and offboarding of staff and interns.  

• Primary liaison with organization’s third-party human resources and payroll company.  

• Maintain a payroll calendar, track PTO and flex time, and process payroll.  

• Distribute information on employee benefits.  

• Track anniversaries and schedule reviews.  

• Maintain Personnel files on staff, interns, and volunteers.  


Board  

• Coordinate and attend Finance Committee meetings.  

• Schedule Board meetings and prepare board meeting packets.  

• Maintain board member files and meeting records.  

• Ensure all relevant documents are posted in the board portal of the OC website  


Operations  

• Strategize and implement efforts to encourage a positive work culture and team bonding  activities.  

• Maintain communications with the landlord/property manager  

• Maintain office equipment, office supplies and other office necessities.  

• Produce a monthly calendar for staff of the upcoming activities.  

• Purchasing

Kwalifikacje

This position requires at least two years of experience in non-profit finance and operations.

Wymagania

• A demonstrated commitment to non-profit, justice-related work is required.  

• Technical Skills – Must be proficient at using required technology; using client  management systems, finance programs, spreadsheets, and reporting tools.  

• Willing to pursue training and development opportunities; strive to continuously  build knowledge and skills and to share such expertise with others.  

• Able to balance multiple tasks and manage conflicting priorities required.  

• Interpersonal Skills - maintains confidentiality, focuses on solving conflict, and  approaches clients and co-workers with trauma-informed lens.  

• Adaptability - Adapts to changes in the work environment. Able to deal with  frequent change, delays, or unexpected events.  

• Excellent communication, writing, problem solving, and organizational skills.  

• Bi-lingual persons are strongly encouraged to apply.

Warunki pracy

Full-time, Exempt

Hybrid. Three days in the office and two days are remote.
